Seven Stages
What Happens At Each Stage
Steps 02 and 05 run alongside the ones before them. The rest follow in order, and each one has a decision you cannot easily undo later.
With your DSF Team and Practice Consultant
01Location Scouting
Find locations with the right demographics, visibility and competition for the kind of practice you want to run.
What This Step Involves
- Define your target demographics, including income level, family density and age spread
- Set a search radius and a limit on how many competitors sit inside it
- Shortlist properties where the zoning already allows a dental practice
- Visit each site and check traffic and how visible the unit really is
- Compare the cost of leasing against buying for every shortlisted site
Common Mistake To Avoid
Picking a location on rent price alone, without checking whether the people nearby match your practice or how many dentists are already serving them.
With your Banker and Accountant
02Financial Planning
Work out your investment, your funding and your expected returns before you sign anything.
What This Step Involves
- Build a startup cost projection covering buildout, equipment and working capital
- Compare lenders and get pre qualified for financing
- Model three years of revenue and find your break even point
- Hold back a contingency budget, usually 10% to 15% of the build cost
Common Mistake To Avoid
Underestimating how much working capital the first six months need, before patient numbers settle.
With your Lawyer and Accountant
03Legal Setup
Get your contracts, corporation and registrations in order, including a proper review of the lease.
What This Step Involves
- Incorporate the practice as a professional corporation
- Have a lawyer review and negotiate the lease or purchase agreement
- Confirm registration with your provincial dental college and regulators
- Draft associate and employment agreements if you plan to hire
Common Mistake To Avoid
Signing a commercial lease before a lawyer checks the dental clauses: permitted use, exclusivity, and who pays for plumbing.
With your Builder and Practice Consultant
04Design And Construction
Build a clinic that carries your brand and keeps clinical work efficient, from the floor plan to the finishes.
What This Step Involves
- Finalise the floor plan around operatory flow and sterilization workflow
- Select a contractor and confirm every permit
- Choose finishes, cabinetry and the branding elements in the space
- Book inspections at each construction milestone
Common Mistake To Avoid
Leaving infection control and workflow planning until later, which forces expensive layout changes mid construction.
With your Equipment Supplier and Builder
05Equipment Setup
Get the right tools and suppliers without overpaying, and time the installation to match your build.
What This Step Involves
- Source chairs, imaging, sterilization equipment and software systems
- Compare new equipment against certified pre owned options
- Confirm the installation date with your contractor
- Set up practice management software and your patient records system
Common Mistake To Avoid
Ordering equipment before the electrical and plumbing specs are final, which holds up installation.

06Hiring And Launch
Build your team and open with a marketing plan that started well before the doors did.
What This Step Involves
- Hire hygienists, assistants and front desk staff
- Set up patient scheduling and intake systems
- Launch your website, local SEO and social presence before opening
- Run a soft opening or an open house for the neighbourhood
Common Mistake To Avoid
Starting marketing in opening week instead of building visibility six to eight weeks ahead.

07Growth And Scaling
Optimise what is running, then decide whether a second location makes sense.
What This Step Involves
- Track new patient count and production per operatory
- Tighten scheduling and case acceptance workflows
- Build a recall system that keeps patients coming back
- Judge whether you are ready for a second location or a DSO structure
Common Mistake To Avoid
Spending on growth marketing before scheduling, recall and case acceptance are running smoothly.
